Pick Your Hostel Pvt Ltd, Kathmandu, Nepal operates Pick Your Hostel. This policy explains how we handle information through the student website and the connected services used to manage listings and review visit applications. Contact [email protected] with privacy questions or requests.

The information we handle depends on which features you use:

• Account information: account identifier, name, email, profile picture and sign-in information provided through Auth0 or a login provider you choose; onboarding also asks for your name and phone number.
• Student profile and application information you enter: contact details, date of birth, gender, home address, study information, planned stay, food preference and parent, guardian, local guardian or spouse details where applicable.
• Optional sensitive information: an application portrait, blood group, and any illness, allergy or care information you choose to enter. Avoid submitting unnecessary medical details. Get permission before providing information about another person.
• Service activity: saved hostels, visit dates and room preferences, application copies, visit decisions, rescheduling history and messages or reports you send us.
• Technical information processed when providing and protecting the service: IP address, browser and device information, request times, security and error records, session cookies and limited browser storage.

Public hostel listings can include names, locations, prices and photographs. Student profile and application information is not intended for public listing or public search indexing.

We use information to authenticate users, maintain profiles and saved hostels, arrange and manage visit requests, present submitted applications to the chosen hostel, support users, correct listings, prevent abuse, protect accounts and meet legal obligations.

Profile and optional health or care details you submit are used in the application and hostel-review context. Do not submit them if you do not want them included in that review. We do not make student profiles available as public marketing content. If we introduce a materially different use, we will explain it and seek permission where required by law.

When you submit a visit request, a copy of your submitted student profile and application photo is attached to that request for the selected hostel's authorized reviewers in our owner portal. This can include the family, guardian and optional health or care information you entered. Review the information before submitting.

Changing your current profile does not automatically change an application copy already submitted. Visit decisions and rescheduling information are shared between you and the relevant hostel. Contact us to ask about correcting or removing previously submitted information; the answer may depend on the request's status and legal recordkeeping needs.

Hostel operators may keep records or communicate with you outside PYH. Ask them how they handle those records. Our policy describes PYH's handling of information; it does not make every hostel's independent practices identical to ours.

We use service providers for authentication, databases, cloud storage, hosting and email delivery. Our current software integrates Auth0, MongoDB and Google Cloud services. The providers actually processing a request depend on the deployed feature and configuration.

Opening a map may connect your browser to OpenFreeMap tile services or a Google Maps embed, depending on the listing. Following a third-party link or using a social login also involves that provider. They may receive technical information such as your IP address and have their own privacy terms.

Access may be provided to authorized personnel supporting the service, providers acting for us, the selected hostel's authorized reviewers, or others where legally required to respond to a lawful request, prevent harm or protect legal rights. A corporate reorganization or transfer may involve information transfer subject to applicable safeguards and notice requirements. We do not grant users permission to harvest or market to other users using this information.

We use session cookies for sign-in and security. Browser storage may retain limited interface preferences or state, such as a navbar display cooldown. Disabling essential cookies can prevent sign-in or other account features from working.

This notice does not authorize optional tracking merely because you visit a page. If optional analytics or advertising technologies are introduced, their purpose and any consent choices required by law must be explained before they are used. Your browser settings can control or remove cookies and local storage.

We retain information for as long as reasonably needed for the relevant service, application history, account security, dispute handling and legal recordkeeping. The appropriate period depends on the type of record; this policy does not promise automatic deletion after a fixed number of days.

We use authentication, access controls and other technical measures to protect information. No website, email channel or storage system can guarantee complete security. Restrict what you share, keep your sign-in details private and contact us promptly if you suspect misuse.

Deleting or changing a profile may not remove existing hostel-held copies, records required by law, or backup copies immediately. Retained information remains subject to applicable restrictions; contact us for an explanation relevant to your request.

You can update profile information and manage saved hostels through your account. The visits area provides available cancellation, rescheduling and deletion actions according to the request's status.

Email [email protected] to request access, correction, account or data deletion, withdrawal of permission where relevant, or information about disclosures. Tell us which account or record is involved. We may verify your identity or authority using proportionate information; never send us your password. We will consider the request under applicable law and explain any lawful limit on what we can do.

You may choose not to provide optional information. Removing essential information or withdrawing permission needed for a feature may mean that feature cannot continue. You can also raise a concern with a competent authority; contacting PYH first is not a requirement for using that right.

Some hostel applicants are school-age students. A parent or legal guardian should be involved when a student cannot legally provide the necessary permission or enter an agreement independently. A parent or guardian may contact us about information submitted by or about a child, subject to appropriate identity and authority checks.

Before entering family or guardian contact information, make sure you have authority to share it and that the person understands its use for the application. Optional care information should be limited to what is relevant to the hostel's review.

Cloud, authentication and email providers may process information outside Nepal. The precise location depends on the provider and deployed configuration. Contact us for questions about the processing locations and protections relevant to your information.
